Standard operating procedures sit at the centre of many regulated operations. They define how activities are performed, establish consistency, support training and provide documented evidence of how controlled processes are expected to operate.

Yet producing a good SOP remains surprisingly difficult.

A procedure can be technically accurate and fully aligned with the underlying process while still being difficult for people to use. Dense paragraphs, inconsistent terminology, unclear sequencing and excessive detail can make even a well-designed procedure harder to follow. When procedures are unclear or poorly followed, the consequences can extend beyond inconvenience. They can contribute to process variability, training difficulties, documentation errors and findings during GMP inspections.

At the same time, artificial intelligence is changing how technical documentation can be produced.

AI can now transform structured information into coherent first drafts, reorganize complex material, identify repetitive language and assist with editorial review. For organisations producing substantial volumes of GxP documentation, these capabilities offer an opportunity to reduce the mechanical burden of drafting.

But AI also introduces new questions.

How should it be used when the source material is technical or regulated? What can it reliably do? Where does it create risk? How should human review change when a first draft can be produced in minutes?

Why SOP writing needs a new approach

Traditional SOP writing often begins with a blank document. The author collects information from procedures, technical documents, standards, previous versions and subject-matter experts, then attempts to turn that material into a logical sequence of instructions.

This process can require considerable time.

The challenge is not necessarily a lack of expertise. Subject-matter experts may understand the process extremely well but may not always find it easy to translate that knowledge into concise, consistently structured procedural language.

There is also a tendency for SOPs to accumulate information over time. Additional explanations, exceptions and requirements are added during revisions, while older material remains. Eventually, a document can become comprehensive without necessarily becoming usable.

AI offers an opportunity to change the drafting process, but the technology works best when it is given a well-structured representation of the process rather than being asked to invent the procedure from a vague prompt.

Start with the process, not the prose

One of the central themes of the webinar is the importance of process mapping before writing begins.

A process map provides a visual representation of activities, decisions, inputs and outputs. It can reveal the actual structure of a workflow before that structure becomes embedded in paragraphs.

This matters because a process that is difficult to map may also be difficult to describe clearly.

Consider a procedure containing preparation, testing, review and decision points. Writing these elements directly into prose can result in long sections containing several actions and conditional branches.

Mapping the process first makes those relationships explicit.

The resulting map can then become a structured input for drafting. Instead of asking AI to determine what the process should be, the author provides the system with a defined representation of what the process is supposed to do.

That distinction is fundamental.

AI should help communicate the process, not decide what the controlled process is.

Plain language makes procedures more usable

The webinar will also examine practical plain-language techniques that can be applied to SOPs.

Plain language does not mean removing scientific terminology or making technical documentation simplistic. It means expressing necessary information in the clearest form appropriate to the task.

Chunking is one useful technique. Related information can be grouped into manageable sections instead of being presented as continuous prose.

Signposting provides clear navigation through headings and descriptive section structures.

Direct instructions can make responsibilities and actions easier to identify.

Consistent terminology reduces the risk that different terms will be interpreted as referring to different materials, equipment or activities.

The 7±2 rule will also be discussed as a practical principle for considering cognitive load. While modern understanding of working memory is more nuanced than a simple numerical rule, the underlying lesson is valuable: users should not be expected to hold excessive amounts of unrelated information in mind while performing a procedure.

These techniques can improve usability without compromising technical precision.

What happens when AI writes the first draft?

The most interesting part of AI-assisted SOP development is not simply that AI can write text. It is what happens when structured process information and authoritative technical content are provided as inputs.

During the webinar, participants will see AI turn a process map and a compendial test method into a first-draft procedure.

This provides a practical illustration of where generative AI can be useful.

Instead of spending substantial time converting source information into an initial structure, the author can begin with a generated draft and focus attention on evaluating it.

That can change the role of the SOP author.

The author becomes less focused on producing every sentence manually and more focused on determining whether the resulting document accurately represents the process and communicates it effectively.

This is potentially a significant productivity improvement, particularly for teams that produce or revise large numbers of procedures.

AI-generated text still requires expert review

The ability of AI to generate convincing technical prose creates an important risk: the output can sound authoritative even when it is wrong.

A fluent sentence is not evidence that the underlying requirement is correct.

AI may misunderstand a source instruction, omit a qualification, combine separate requirements, introduce assumptions or fail to recognize an important operational constraint. It can also reproduce ambiguity from its source material while making that ambiguity appear more polished.

For regulated documentation, these limitations cannot be ignored.

Human review therefore remains essential.

The reviewer must confirm that the procedure reflects the approved process, that technical requirements have been preserved, that terminology is correct and that the instructions can be executed as intended.

The quality of the review is arguably even more important when AI has generated the first draft because the polished appearance of the document can make errors less obvious.

Faster drafting should mean better review

The greatest value of AI may not be that it allows organisations to produce documents faster.

It may be that it allows them to spend more time on the work that requires expertise.

If an author previously spent hours constructing and restructuring sentences, that time could potentially be reduced through AI-assisted drafting. The time saved can instead be directed toward technical review, process verification, usability assessment and quality-system considerations.

This is a more useful way to think about AI adoption.

The objective should not be to replace human involvement in documentation. It should be to move human effort toward activities where human judgement provides the greatest value.

For regulated organisations, that distinction is critical.

Better SOPs do not necessarily require more words. They require better organization, clearer instructions and a stronger connection between the document and the process it controls.

By combining process mapping, plain-language techniques and appropriately controlled AI-assisted drafting, organisations can work toward procedures that are easier to understand without sacrificing technical or regulatory requirements.
